A 30-Guest Birthday Celebration in Queenstown
A behind-the-scenes look at a private canapé event with full food and drink service.
This Queenstown Private Chef event brought together 30 guests travelling from Australia to celebrate Meiron’s birthday in Queenstown.
The event was designed as a relaxed but elevated canapé-style evening, with a custom menu, full drink service, and professional staffing to ensure everything flowed seamlessly from arrival to the final round of drinks.
From menu design and preparation through to service on the night, every detail was handled behind the scenes so the host could simply enjoy the celebration with their guests.
The Brief
After a well-considered planning process and detailed discussions around Meiron’s preferences and those of his guests, the brief was to create a celebration that felt generous, relaxed, and engaging from start to finish , a style that reflects the way I approach private chef services in Queenstown.
With guests travelling from Australia, the event needed to feel special without becoming overly formal. Rather than a seated dinner, we agreed on a canapé-style private event, which encouraged movement, conversation, and a natural flow throughout the evening.
The focus was on showcasing a wide variety of flavours and techniques through eight distinct canapés, while ensuring all dietary requirements were comfortably covered, including gluten-free and vegan options , something I prioritise across all bespoke catering experiences.
Alongside the food, Meiron requested a full-service event experience, including wine and champagne glasses, water glasses and jugs, cutlery, display units, and professional service staff, allowing the evening to unfold seamlessly while he enjoyed the celebration with his guests.
From there, the focus shifted to designing a menu that highlighted the best of seasonal Otago produce, while creating an experience that felt interactive, polished, and effortless on the night , the same approach I bring to every private celebration and event in Queenstown.
Menu Design: Eight Canapés, Designed to Flow
With the structure of the evening set, the menu was designed to offer variety, balance, and a natural rhythm throughout the night. Rather than serving everything at once, the canapés were planned to arrive in waves , beginning with lighter, fresher flavours before building into richer, more indulgent dishes.
The final menu featured eight distinct canapés, each showcasing different techniques and ingredients, while highlighting the best of seasonal Otago produce during summer:
• Mini wagyu burgers in brioche buns
• Venison osso bucco croquettes with truffle mayo and rhubarb gel
• Crispy calamari with gochujang glaze
• Baked goat’s cheese custard tarts with pumpkin conserve
• Salt-baked beetroot crostini with whipped buffalo cheese and candied walnuts
• Citrus-cured king salmon and avocado cornets
• Mini Peking duck pancakes with hoisin
• Marinated crispy tofu lettuce cups
The menu was carefully balanced to accommodate dietary requirements, including gluten-free and vegan options, without creating separate experiences for different guests. Every dish sat comfortably alongside the rest, allowing everyone to enjoy the full spread.
Preparation & Planning
While the event itself began at 7:00 pm, preparation started several days earlier.
For a canapé event of this scale, success relies on careful planning , from menu sequencing and sourcing produce to advance preparation, equipment planning, and timing each stage of service. Every element is carefully considered so that, on the night, everything runs smoothly and without pressure.
This behind-the-scenes work ensures food is served consistently, at the right temperature, and in the right rhythm as guests arrive, mingle, and move through the space. When preparation is done well, the event feels effortless , even though a great deal has gone into making it so
Service on the Night
On the night of the event, everything unfolded exactly as planned.
With the support of one additional chef and a professional waitress, canapé service and drink service ran simultaneously, allowing guests to relax, mingle, and enjoy the evening without interruption.
Set in a beautiful hilltop property overlooking Lake Wakatipu, the atmosphere felt relaxed yet refined. Champagne flowed, canapés were served continuously, and guests could watch dishes being plated to order, with each item explained as it was served.
This level of interaction turns a private event into a live, engaging experience — part celebration, part open kitchen — where food becomes a focal point without ever taking over the room.
The Outcome
The event ran from 7:00 pm to 10:00 pm, after which the kitchen and service areas were cleaned and reset promptly, allowing guests to continue enjoying the evening without interruption.
Most importantly, Meiron was able to fully relax and enjoy his own celebration , confident that everything was being taken care of behind the scenes.
A great private event is measured by more than just good food. It’s about atmosphere, flow, and how guests feel long after the last canapé has been served. This evening delivered on all fronts.
